DISPATCHER - HVAC SERVICE

 
Seeking a Dispatcher to join our service team within the Mechanical Services Department who exhibits strong customer skills, is highly organized, and is self-motivated. This is a full-time and non-exempt (hourly) position. Please note: this position is in our office five days per week. As part of a collaborative dispatch team, this position will coordinate daily with a variety of teams including:

  • Clients who call in for emergency services, follow up on completed work, and scheduling preventive maintenances.

  • Our employees, specifically HVAC Service Technicians and Plumbers, to verify work is completed, discuss schedules, and relay information from the field to the office,

  • Internal billing teams in our Mechanical Services line of business.

  • Our HVAC Service Managers and our Project Managers to schedule critical work, new start-ups, and reorganize schedules as needed.

 

The ideal candidate will enjoy problem solving and working on operations in a team environment with many collaborative responsibilities. About our Company

Since 1905, Elliott-Lewis and its subsidiaries, including AA Duckett, have held a reputation as a premier provider of Mechanical Services, Facilities Management, and Crane Rentals. This role will specifically support the Mechanical Services line of business. Mechanical Service includes installation of commercial HVAC units; proactive maintenance of HVAC, boilers, and chillers; service repairs to HVAC, boilers, and chillers; and mechanical construction projects.

 

Responsibilities

  • Handle all inbound customer and service technician calls in an efficient and professional manner.
  • Verify technicians’ work orders are being completed timely and thoroughly. Ensure any follow-up from the technician’s work orders are sent to the right parties internally.
  • Participate in an on call 24-hour service rotation which provides financial incentives.
  • Routine Dispatching: Scheduling of appointments to provide service to our geographical region, as well as follow-ups, inspections, crane and trucking requests.  This scheduling requires knowledge of covered equipment and understanding the capabilities and skill sets of our employees who are dispatched to client sites.
  • Emergency Dispatching: Intake requests for emergency service and dispatch the technician with the appropriate skillset.
  • Track purchase orders, parts, and equipment for pending follow-ups.
  • Act as liaison when resolving issues to escalate requests as needed.

  • Dispatch and/or customer service experience
  • Knowledge of Microsoft Office a must, specifically Word, Excel, and Outlook 

 

Preferred Skills 

Experience with any of the following highly desired but not required to apply:

  • Microsoft Great Plains (aka GP Dynamics, or Wennsoft) – an accounting and client management software or a similar software package.
  • MobileTech dispatching software or similar programs.
  • Additionally, 5 years’ or more experience working in HVAC industry or other trade such as Construction, Plumbing, Crane Rentals, Elevator Repairs, Tree Removal, Auto Repair, Disaster Recovery, Concrete and Asphalt. Although not required, experience in these fields will help a candidate integrate into this position.

 

Physical Requirements

  • Regularly requires a high degree of mental effort, talk and hear, gross and fine manipulation, read both print and screens for extended periods of time.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus. 
  • Frequently required to walk and sit 
  • Occasionally required to reach with hands and arms, lift 25 lbs. max, stand and stoop, kneel, or crouch, and climb stairs  
  • Expected to work in a moderately loud level of volume environment.
