ACCOUNTS RECEIVABLE ASSISTANT

 

·        Hybrid Work Model: 4 days in office, 1 day remote

 

Seeking an entry-level and team-oriented professional to join our Accounts Receivable team within the Finance Department. This position will collaborate daily with a variety of teams including: accounting, sales, contracting, and project managers across our various lines of business. This role will also require daily communication with a portfolio of clients.  This role is responsible for the routine administrative tasks and daily data entry of the AR team. This position will report directly to the Accounts Receivable Manager. The ideal candidate will be seeking a long-term relationship with an employer to further their career. This is a full-time and non-exempt (hourly) position.

Comprised of four sister companies, our Accounts Receivable team supports each line of business to ensure payment is collected from our valued clients.

 

Role and Responsibilities:

  • Provide daily updates on a portfolio of customer accounts, which are almost all commercial clients (aka B2B)
  • Daily responsibilities to contact clients for past due payment via phone calls and email.
    • Typically makes about 10+ phone calls per day
    • Typically sends 15+ proactive emails a day
  • Maintain a complete and accurate record of all collection efforts within the ERP system (Microsoft Great Plains).
  • Daily communication with the sales team, project managers and billing department regarding their customer accounts.
  • Investigating and resolving AR and collection issues.
  • Cash Receipts Responsibilities
    • Post incoming payments such as checks, ACHs and wires to customer accounts within Microsoft GP.
    • Trouble shoot questions regarding ACHs and checks.
    • Scan checks into bank remote deposit system.
    • Prepare filing system for bank and Microsoft GP postings.
  • Credit Card Payment Responsibilities
    • Prepare credit card information with an additional 3% charge applied.
    • Process all credit card payments for each line of business in Microsoft GP.
    • Scan and email receipt to respective customers.
    • Prepare spreadsheets with settlement information following payments.
    • Obtain merchant account balances.
    • Submit credit card settlement information allowing funds to transfer from merchant to operating.
  • On Account Responsibilities
    • Research accounts that require refunds and issue accordingly.
    • Review credit balances to identify the reason.
  • Additional Responsibilities
    • Apply all credit memos to related invoices.
    • Utilize vendor and third-party websites for payment processing: Ariba, Coupa, Corrigo, Wells Fargo

 

Required Skills  

  • Minimum of 1 years of experience in accounting or similar role (Intenship experince counted towards this requirement)
  • Proficient in Microsoft Office- specifically Outlook, Word, and Excel.
  • Excellent verbal and written communication skills required.
  • Exceptional analytical and problem-solving skills.
  • Strong attention to detail.
  • A High School Diploma or GED.

 

 

Preferred Skills 

  • Direct experience in credit and collections is highly desired.
  • College courses is a plus.
  • Experience using Microsoft Great Plains (aka Dynamics) is preferred.
  • Advanced Microsoft Office skills in Excel, SharePoint, and Teams greatly valued.
  • Program experience with DocuSign, vendor portals, and bank online portals preferred.

 

 

Physical Requirements

  • Regularly requires a high degree of mental effort, talk and hear, gross and fine manipulation, read both print and screens for extended periods of time.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus. 
  • Frequently required to walk and sit 
  • Occasionally required to reach with hands and arms, lift 25 lbs. max, stand and stoop, kneel, or crouch, and climb stairs  
  • Expected to work in a moderately loud level of volume environment.
